Minutes May 20 2020

Virtual meeting was held!

Present:       Sheril Gelmon (PAC Chair), Jo-Ann Gordon (Co-Secretary), Lara Spence (Communications/Social Media), Sheri Wiwchar (Co-Fundraising Coordinator), Suzanne Smythe (DPAC Rep), Brent Schieman (Principal) and 8 parents.

The meeting began at 7:15 pm with approval of minutes from April 22nd meeting by Suzanne Smythe and seconded by Norm Genier.

  1. Treasurer’s Report – Michelle Koski

– The 2020 scholarships we fund include:

Mini – 2 @ $750 = $1,500

PAC – 1 @ $750

Thomas Harapnuick  – 1 @ $750

100 Year Legacy Fund (from 100 Year Legacy fund, until 2022) – 1 @ $750

– Balances in accounts as follows:

Gaming Fund (government lottery funds with special spending criteria) – $8,548

– Jaime Sagaun cashed his 2019 scholarship cheques in April 2020

– $3,000 to come from this account for 2020 scholarships

Consultative Fund (PAC raised money with no restrictions on spending) – $6,357

– Bingo deposit of $1,496 made into this account – 60% to go to Mini

Legacy Fund (money raised in 100 Yr Anniversary, for legacy projects) – $3,431

– Purdy’s and XCCL Hospitality deposits of $478 need to be transferred to Consultative Account

– $750 to come from this account for 2020 scholarships

– JO PAC application for the 2020/21 Gaming Fund has been submitted to the BC Government

– Michelle is not standing for Treasurer next year and so the PAC is looking for a volunteer to fill this position.

  1. Principal’s Report – Brent Schieman

– timetable for next year proceeding as normal – questions continue to come up – if still online (remote learning) do we offer Peer Tutoring and Community Service which would be difficult to do remotely, etc.?

– enrolment is down about 50 students, so will likely lose 1-4 teachers from the school

– 240 graduating with only 190 enrolled coming in

– JO only has about 13 international students so may get 1 more staff

– week of June 15-19 textbook collection – students come in and drop them off in the gym; in the other gym they pick up yearbooks and Grad cap & gowns

– upgrading sound booth area in auditorium – putting in a proper platform (portable) that is wheelchair accessible – $15,000 to get proper cables and bringing it up to code (wanting it to be safer for students)

– wants to make auditorium more usable for community and school

– no overnight trips for the rest of the year (to Dec. 2020) and a reduction in day trips unless proper safety protocols are met (i.e. one student every second seat on a bus, etc.)

June 1st schedule is still being planned – allowed 20% in the school at any given time (= 200 students) – does VLN count? – if they count in the 20% then JO numbers will decrease

– different for elementary schools as there is 1 teacher with each class so easier to manage

– difficult for teachers with 8 classes – how do they do 20%?

– want the focus to be for teachers providing opportunity for those who need extra help to pass the year – those who were getting 90% in March there is no reason  for them to come in – allow teachers to not have kids in class as they’re supposed to also be maintaining classes for the 80% who are not in school

– do students come in for 1 hr/2 hrs/full day? – cafeteria probably not re-opening

– private schools are doing virtual classrooms – is that something JO will do in the fall?

– want to get to the end of this school year with some continuity and haven’t yet planned for the fall, but all things will likely be considered

– Grad 2020 –

– pre-recorded message on June 25th (last day of school)

– at 3:00 pm on the last day of school trying to get City Hall and the community to ring bells (like the 7:00 pm banging pots for the Health Care Workers) for the Grads

June 22, 23 or 24 – hoping to hold it in 1 day

– wanted student and 2 parents come to school doing a walk – parents are not allowed in school so now just students will be walking through hallways

– grand entrance by gym (red carpet), pick up cap & gown week before so they will be in that outfit – holding area where they can sign a yearbook quote to each other (compile and give to students later), piped and draped so cannot see lockers in front of office – announce names and awards, etc. – Artona doing a photo (where central stairs are) – prom hallway (dark, music, special effects) – staff along way to cafeteria – collect a SWAG bag (includes scholarship envelopes, etc.) – central courtyard exit

– hiring a company to do this – spending $4,000

– $25 (cap & gown) + $15 (sundry) = $40 then refund parents back $40 from $80 Grad fee

– motion to give $1,000 from PAC to Grad to help with day of Grad – all agreed

– PAC positions are open for the fall – Co-Chair, Co-Secretary, Treasurer, DPAC Rep – description of positions is on the PAC website

– Suzanne has digitized drawings of all the JO seismic upgrading received from Anne Montgomery (past PAC Chair). Brent is willing to have them sent to a drive at the school. Suzanne will let Sheril know where they end up, so their location will be in the minutes.

Decided to order a banner from Vistaprint (cost around $60) from PAC to staff and teachers – “Our Heartfelt Thanks to the Teachers & Staff at John Oliver Secondary. In appreciation for all you do for the students. JO Parents & Students – 2020.”

Meeting adjourned at 8:30 pm. Next meeting will be September 2020!
